Why Your Emails Sound Wrong (And the AI Fix That Takes 10 Seconds)

Learn how professionals use AI-assisted replies on Instagram, Facebook and X to build genuine engagement at scale — without sounding robotic or violating platform rules.

You've spent 15 minutes writing an email. You read it back and something feels off — too aggressive, too passive, too casual, too stiff. So you rewrite. Then rewrite again. Then send the first version anyway because you've run out of time. This is one of the most common productivity drains in professional work, and it has nothing to do with writing ability. It has to do with the editing problem: it's nearly impossible to judge your own tone objectively while you're inside the draft. This is exactly the problem the Rewriter feature solves.

The Tone Problem Is Real and Costly Research from Grammarly and The Harris Poll found that workers spend an average of 19 hours per week on business communication — and that miscommunication costs US businesses an estimated $1.2 trillion annually. Much of that cost isn't misspelled words. It's tone: messages that land as passive-aggressive when they were meant as straightforward, or overly casual when the reader expected formality. The challenge is that tone is highly context-dependent. The same sentence reads differently depending on the relationship, the stakes, the platform, and whether it arrives on a Monday morning or a Friday afternoon.

The Three Most Common Email Tone Mistakes 1. The Accidental Aggressor You wrote a perfectly reasonable request. The reader heard a demand. What you wrote: Can you send me the report by EOD? What they heard: You haven't sent the report and I need it now. The fix is adding acknowledgement or softening language — but not so much that the urgency disappears. Getting that balance right through manual editing takes effort. 2. The Unintentional Apologiser You didn't want to be rude, so you softened everything. Now the message has no signal. What you wrote: I was just wondering if maybe there was any chance you could possibly take a look at the document when you have time? What they heard: Nothing particularly urgent. The fix is stripping the hedges while keeping the politeness. Again, easier said than done when you're in the draft. 3. The Register Mismatch You wrote a casual message to someone who expected a formal one (or vice versa). The content is fine but the relationship has been slightly damaged by the tone mismatch. This is the hardest mistake to catch because you have to step outside your own perspective — and that's exactly what you can't do with your own writing.

How AI Rewriting Solves This The Rewriter works by taking any text you paste in and generating three alternative versions. Each takes a different approach — one might be more formal, one more concise, one more engaging. You pick the version that fits the situation, or use one as a base to edit further. What makes this effective isn't that the AI writes better than you. It's that it gives you options — and options break the tunnel vision problem that comes from staring at your own draft. Here's a real workflow: Write your first draft however it comes out — don't overthink it Paste it into the Rewriter Read the three alternatives against your original One of the four versions (yours plus the three) will clearly be best for this context Copy and paste that one, add any personal touches, and send Total extra time: 30–45 seconds. The result: emails that consistently land better.

Beyond Email: Where the Rewriter Saves the Most Time Email gets most of the attention, but the Rewriter is arguably more valuable in these situations: Slack and Teams messages to senior stakeholders Short messages to executives or important clients carry disproportionate risk. A one-line message that reads as terse can do real damage. The Rewriter gives you three alternatives for even a two-sentence message — and one of them usually hits the right note. Social media posts about your business or expertise Promoting yourself or your work without sounding self-congratulatory is genuinely hard. The Rewriter can give you three ways to frame the same update — one might be confident and direct, another might lead with the value to the audience rather than the achievement. Customer support replies When you're handling a complaint or a difficult request, tone is everything. Combine the Rewriter with the Templates feature to build a library of difficult-situation responses, then use the Rewriter to adapt them to each specific customer. Performance review self-evaluations Writing about your own achievements without sounding arrogant or undervaluing yourself is a peculiar skill that most people struggle with. Paste your first draft into the Rewriter and you'll usually find one of the alternatives hits the balance point you were looking for.

What the Rewriter Doesn't Do It's worth being explicit: the Rewriter is not a replacement for your thinking or your voice. The AI understands the meaning and structure of your text and produces alternatives. But it doesn't know your audience, your history with that person, or the specific context of your relationship. That's why the final edit is always yours — and why you should always read through any AI suggestion before sending. Research from MIT's Computer Science and Artificial Intelligence Laboratory consistently shows that human-AI collaboration outperforms either alone on communication tasks. The AI handles the structural and tonal variations; you handle the judgment about which one fits.

Getting the Most From the Rewriter Write the full draft first. Don't try to optimise while writing — get the substance out, then use the Rewriter on the complete text. Partial paragraphs don't give the AI enough context. Use it on short texts too. Even two-sentence Slack messages benefit from seeing three alternatives. The cognitive overhead is minimal. Pay attention to the variation that surprises you. Often the most useful rewrite is the one you wouldn't have written yourself — it shows you an angle you were too close to the draft to see. Combine with Templates. If you find yourself rewriting similar messages repeatedly, save the best version as a Template. Next time, you start from the polished baseline rather than a blank page.
